1. Who we are and what this covers
SheerForce Solutions LLC ("SheerForce", "we") provides SheerForce Voice, an AI phone assistant for businesses. This policy explains what we collect and why, for three groups of people:
- Callers and customers who phone, order from, book with, or ask for a call from a business that uses SheerForce Voice. For this information we act on behalf of that business (as its service provider). The business decides how it uses your information; you can also contact us and we will help.
- Business customers and the people they give dashboard access to.
- Visitors to our website and product page.
2. Information about callers
When you call a business that uses SheerForce Voice, you are told at the start of the call that you are speaking with an automated assistant.
- During the call, what you say is processed in real time by our AI provider so the assistant can understand and answer you. Your phone number (caller ID) is received from the phone network.
- What we keep: the details needed to handle your request, such as your name, phone number and address, your order or the problem you described, your preferred time, and any appointment booked, along with the time and length of the call.
- What we do not keep: we do not store audio recordings or full transcripts of calls. Our AI provider may retain call content for up to 30 days to detect abuse, under its business API terms, and does not use it to train its models by default.
- Customer history: the business keeps a record of your calls, orders and requests linked to your phone number, so it can follow up and so the assistant can recognize you when you call again. The assistant always asks to confirm who it is speaking with before mentioning anything from past calls. We recognize callers by phone number only: we do not use voiceprints or other biometric identifiers. You can ask the business, or us, to delete your record.
- Payment cards: the assistant does not accept card numbers over the phone.
If you use a business's online booking page, we collect the details you enter in the form.
If you use a business's website chat, an automated AI assistant reads and answers your messages. They are processed by our AI provider the same way as a phone call, and the conversation is kept with the business's records so it can handle your request. Please don't share payment card numbers in the chat.
If you try a SheerForce demo in your browser on our website, the call works like a phone call to that demo line (it is not recorded), and anything you say is test data that we may review to improve the assistant. If you answer our short survey afterward, we keep your answers, name, email and business details to follow up with you about SheerForce. We add you to our newsletter only if you check the newsletter box; we keep the wording you agreed to and when, and every newsletter has a link to unsubscribe. The same applies when you sign up for the newsletter on our website: we keep your email, first name and type of business, send you a link to confirm, and email you only after you click it. We send the newsletter through our email provider, Resend, and never sell or share your address.
3. People who ask a business to call them back
Some businesses let you ask for a call on their website. If you check the box agreeing to a call, the business's automated AI assistant calls you, usually within about a minute and only between 8 a.m. and 8 p.m. your time.
- What we collect from the form: what you enter (such as your name, phone number and what you need) and a record of your consent: whether you checked the box, the exact wording you agreed to, the date and time, the web page, and your IP address and browser type.
- The call is handled like any other call described above. It is not recorded, and what you tell the assistant goes to the business.
- Stopping calls: say "stop calling" on any call, or contact the business or us. We then never call that number automatically for that business again. If you did not check the box, nobody is called automatically, but the business still receives your request.
4. Information about business customers and visitors
- Account information: name, email, business details, settings, and who can sign in.
- Billing: handled by Stripe. We receive your subscription status and the last details Stripe shares with us; we never see or store full card numbers.
- Connected services: if you connect Clover we receive your menu and send it orders; if you connect Google Calendar see section 6.
- Product page: if you ask us to contact you, we keep your name, business, phone, email and message.
- Cookies and similar: we use one necessary cookie to keep you signed in to the dashboard, and your browser may remember a display preference (for example Live Board sound). We do not use advertising or tracking cookies. Our pages load fonts from Google Fonts, which receives your IP address to deliver them.
5. How we use information
To answer calls and complete the request (taking orders, service requests and bookings, and transferring calls); to notify the business by email and show the information in its dashboard; to provide support, keep the service secure and prevent abuse; to bill for the service; to measure usage such as call minutes; and to meet legal obligations.
We do not sell personal information, share it for targeted advertising, or use call content to train artificial intelligence models.
6. Who we share it with
The business you contacted, and service providers that help us run the service under contracts limiting their use of the data: OpenAI (voice AI), Twilio (phone calls), Render (hosting and database), Stripe (payments), Google (email delivery, fonts, and calendar for businesses that connect it), and Clover (orders, for businesses that connect it). We may also disclose information if the law requires it, to protect people's safety, or as part of a merger or sale of our business, in which case this policy continues to apply.
7. Text messages (SMS)
SheerForce Solutions LLC sends text messages for SheerForce Voice only to people who agree to them on a call, or as replies to people who text one of our numbers first (see our SMS Terms in the Terms of Service and /sms). We keep your phone number, the date and time you agreed, and the messages sent, to deliver them and to prove consent. If you text us, an automated AI assistant reads and answers your messages: what you write is processed by our AI provider the same way as a phone call, and the conversation is kept with our records so we can handle your request. You can reply STOP to any message to opt out.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Text messaging opt-in data and consent will not be shared with any third parties, except the providers that deliver the messages for us (Twilio).
8. Google Calendar data
If a business connects Google Calendar, we access only what the feature needs: we read free/busy times so that busy periods block bookings, and we create, update and delete the appointment events we booked. SheerForce Voice's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, do not sell it, do not use it to train AI models, and do not let people read it except with the business's permission, for security, or to comply with the law. A business can disconnect Google at any time from its Schedule page.
9. How long we keep it
- Orders, requests, bookings and call details are kept while the business's account is active, so the business can see its history, and deleted within 90 days after the account closes, unless the business asks us to delete them sooner or the law requires us to keep them longer.
- Consent records for callback requests are kept for 5 years after the last call made under them, so the business and we can show that a call was requested, even if the business's account has closed. Stop-calling requests are kept for as long as needed to honor them.
- Product-page contact requests are kept for up to 24 months.
- Server logs are kept for a limited time and do not contain call content.
10. Security
We protect information with reasonable safeguards, including encryption in transit (HTTPS, and encrypted connections for phone audio), encrypted storage of connection credentials, one-time sign-in links instead of passwords, and access limited to people who need it. If a breach affects your information, we will notify you and the authorities as the law requires.
11. Your choices and rights
You can ask us to access, correct or delete your information by emailing support@sheerforceai.com. If you are a caller, we may need to confirm the request with the business you contacted, since it controls that information. Depending on where you live (for example California), you may have additional rights under state law; we will honor them as required and will not treat you differently for using them. Businesses can update their own information in the dashboard.
12. Children
SheerForce Voice is a business service and is not directed to children under 16. We do not knowingly collect their information except as part of an ordinary call to a business.
13. Changes to this policy
We will post updates here and change the date at the top. For material changes affecting business customers, we will also notify them by email or in the dashboard before the change takes effect.
